Scheduling of assigned tasks

Define when a task will be sent to the user—immediately, at the start time, or days in advance based on the scheduled date.

Written by Jessica Franco

Task scheduling allows you to define in advance when a user will receive a task, making it easier to organize and prepare work.

🧭 Steps to schedule task delivery

  1. Go to Tasks in the web portal

  2. Click on New task or edit an existing one

  3. Complete the main fields (user, form, date and time)

  4. In the “Schedule task delivery” section, choose an option:

    • Send now

    • At task start

    • X days before (as long as the scheduled delivery date is not in the past)

  5. Save the task

⏱ Scheduling options

  • Send now: the task is sent immediately

  • At start: the user receives it exactly at the configured start date/time

  • In advance: allows sending the task to the user days before the start date

⚠️ Restrictions

  • Available scheduling options depend on the configured start date

  • If the task is scheduled for the same day, you won’t be able to select days in advance

📥 Task scheduling via import

If you use bulk import (Excel), you can also define scheduled delivery.

What changed?

A new column was added at the end:

“Schedule delivery (days before)”

How to use it?

  • Enter the number of days (for example: 1, 3, 7)

  • This indicates how many days before the task start date it will be sent.

📌 Notes

  • If the task should be sent at the moment it is created, this column must be left empty.

  • If the task should be sent at the configured start date/time, this column must be set to 0.
