Field Inspections and Audits

A good inspection or audit depends on every inspector reviewing the same things, the same way, every time. With paper checklists or loose spreadsheets, that's hard to guarantee: each inspector interprets the format their own way, critical findings get buried in the rest of the report, and by the time someone in the office reads the full report, days have already passed since the visit.

With DataScope, the checklist is always the same for every inspector, findings are available as soon as they're submitted, and anything that needs action can become a formal follow-up on the spot, not later.

With the Form Builder, you define the inspection or audit checklist once — with its criteria, compliance scales, and sections — and every inspector uses it the same way, no matter where they are. Inspectors complete the audit from their phone or tablet, even offline: the data stays saved on the device and syncs on its own as soon as there's signal, with no need for someone to transcribe paper notes back at the office.

Each answer can include photos taken on the spot, automatic geolocation, and QR or barcode scanning to identify exactly which piece of equipment, room, or checkpoint is being audited. You can require that photos be taken with the device's camera (not from the gallery), to make sure the evidence actually corresponds to the place and time of the inspection.

When an inspection uncovers a non-conformity that needs action — equipment out of spec, an unsafe condition — the Issues module lets you open the follow-up directly from that same answer. That way, what was found and what was done about it (and when it was closed) both stay on record.

For audits that require sign-off from the party being audited, Digital Signature lets both the auditor and the area's responsible person sign the report directly on the device at the end of the visit.

Every completed inspection automatically generates a PDF with the results. You can customize the report's format to match your organization's standard or one required by a client or regulator, and turn on automatic notifications so the report reaches the right person as soon as the inspection is completed.

You can export the results to Excel to build your own dashboards (compliance by area, recurring findings, pending inspections), or use Ask DataScope to query your data in plain language and get answers on the spot, without waiting for a manual month-end summary.
