When a technician installs or repairs a piece of equipment, the information they record in the field — what was done, which parts were used, what condition the equipment was left in — usually ends up on a sheet of paper that takes days to reach the office, if it arrives complete at all. By the time someone reviews it, it's already too late to act on any issue that came up.
DataScope changes that flow: the technician records everything from their phone on the spot, the office sees it instantly, and each piece of equipment keeps a history you can check whenever you need it — not just the last visit, but all of them.
📋 Digital work orders, even without signal
Technicians fill out the work order from the DataScope app, on site, with no need for an internet connection. If they're in a plant or site with no signal, the information stays saved on the device and syncs on its own as soon as there's a connection — nothing gets lost, and nothing needs to be redone later.
Beyond text, each work order can include photos of the equipment, automatic geolocation, and barcode or QR scanning to quickly identify the exact part or piece of equipment being worked on.
🔧 Every piece of equipment with its own record
With the Assets module, every piece of equipment you install or maintain gets registered as an individual asset within DataScope, with its own history of interventions. Instead of searching through separate forms to find out when a specific machine was last serviced, the full history is directly attached to that asset — who worked on it, when, what was done, and with what result.
This is especially useful for planning preventive maintenance: you can see at a glance which equipment has gone the longest without a check, or which has had repeated failures.
🗓️ Schedule and track your team's visits
With Task Assignment, you define which technician visits which client, at what time, and for what activity. Each technician sees their assigned tasks from the app, and the office can monitor the day's progress in real time — who has already completed their visit and who's still in the field.
🎫 When maintenance uncovers something more
If an installation or maintenance visit reveals an issue that needs follow-up (a part that needs to be ordered, a fault that requires a second visit), the Issues module lets you open that follow-up directly from the same form, without losing the trace back to the visit it came from.
✍️ Formal sign-off with digital signature
At the end of the job, both the technician and the client can sign directly on the device with Digital Signature, leaving a record that the service was performed and accepted — no printing required.
📄 Automatic reports for your clients
Every time a work order is completed, DataScope automatically generates a PDF with a record of what was done. You can customize that PDF's format to match your brand or your client's requirements, and turn on automatic email notifications so the client receives their copy as soon as the service is completed on their premises.
📊 Analyze your operation however you need
You can export the data to Excel to build your own reports, or use Ask DataScope to query your data in plain language — for example, which pieces of equipment have had the most failures this quarter — without building a manual report every time.
🔌 Connect the information with your other systems
If your organization already uses other tools to manage its operation, you can connect DataScope through integrations or our API, so the information collected in the field syncs automatically, with no double data entry.
