How do I configure issue types?

Learn how to create and edit Issue types to standardize assignees, deadlines, requirements, and forms

Written by Jessica Franco

Issue types let you define in advance how each kind of problem is created and managed. When you choose a type, the Issue automatically takes on its assignees, location, deadlines, requirements, and forms, so every case follows the same process.

📌 The Issues module is available on the Professional and Enterprise plans. Accounts on the Free or Starter plan can activate a 30-day trial.

📌 Where to configure them

  1. Go to the Issues section and select Configure. You can also create a type from Create + > Create issue type.

  2. In the Issue types list, you’ll see your account’s types, each with Edit and Delete actions.

  3. To create a new one, select Create type +.

By default, accounts include the “Maintenance”, “Inspection”, and “Other” types.

📌 Permissions

To view, create, and edit Issue types, you need edit and admin permissions.

📌 Create an Issue type

When you select Create type +, the Create Issue Type screen opens with these sections:

  1. Name *: the Issue type’s name.

  2. Assignee (Assign to): one or more people in charge of closing Issues of this type. They’re selected one by one, not by groups. If you don’t set an assignee, whoever creates the Issue can define it.

  3. Location: a location from the existing list.

  4. Assets: which asset types and which specific assets are available when creating an Issue of this type. This setting controls the options in the asset selector.

  5. Mandatory requirements:

    • Due date: the number of days allowed for each priority (Low, Medium, High, and Critical). When an Issue is created, the due date is calculated automatically based on the chosen priority.

    • Evidence: requires attaching at least one image when creating the Issue.

    • Closing image and Closing comment: require uploading an image and writing a comment when closing the Issue.

    • Location and Asset: require these fields when creating the Issue.

  6. Priority: if you choose a default priority, whoever creates the Issue can’t change it, but will see its description.

  7. Custom fields: additional fields specific to your operation, added with Add field +.

  8. Forms: forms automatically requested from the people participating in the Issue, added with + Add form. They’re added one at a time; selecting form folders isn’t available yet. See Attach form answers and forms to Issues.

When you’re done, select Save. To leave without saving, select Cancel.

📌 What happens when you create an Issue with this type

  • Information configured in the type is filled in automatically and can’t be edited. Fields the type leaves empty can be filled in.

  • If no type is chosen, the Issue is set as “Other” and no configuration applies.

📌 Edit or delete an Issue type

From the Issue types list, use Edit or Delete. Keep in mind how this affects reports:

Action

PDF and Excel

Google Sheets

Edit the type’s name

Shows the new name

Keeps the old name

Delete the type

Shows as “Others”

Keeps the deleted name

Changes don’t carry over to Google Sheets due to Google’s technical limitations.

📌 Frequently asked questions

  • What permissions do I need to create or edit Issue types? Edit and admin permissions.

  • What happens if I don’t set an assignee or location for the type? Whoever creates the Issue can define them when creating it.

  • How is the due date calculated? Based on the priority chosen when creating the Issue and the days configured for that priority in the type. Each priority can have a different deadline.

  • How are forms linked to a type delivered? The form is sent to the Issue chat as a clickable button. Once completed, the answer also appears in the chat as a button.

  • What happens to reports if I edit or delete a type? In PDF and Excel, the name is updated or shows as “Others”. In Google Sheets, the previous name is kept.
