In DataScope, you can add forms to an Issue in two ways: linking them manually or setting up automatic requests for specific Issue types. Both options give you more flexibility and efficiency when managing and resolving incidents, keeping all information centralized and accessible.
📌 The Issues module is available on the Professional and Enterprise plans. Accounts on the Free or Starter plan can activate a 30-day trial.
💡 Which option do I need?
If you want to... | Do this |
Ask someone to fill out a form for an Issue you already created | Use Send form from the Issue |
Attach an answer that has already been completed | Use Send form answers from the Issue |
Always request the same form when an Issue of a certain type is created | Set it up in the Issue type, under Additional information |
📌 Add forms manually
You can attach forms or completed answers directly to an Issue at any stage of the workflow. This is ideal when you need to collect additional information after the Issue has been created.
For example: an operator reported a safety incident, but is later asked to complete an additional risk assessment form. You can request that specific form or, if it has already been completed, attach its answer directly to the Issue. This keeps all information centralized, making follow-up and auditing easier.
How to do it
From the app or the web, go to the Issues section.
Select the Issue you want to add the form to.
Tap the + symbol at the bottom left of the chat and select Send form, Send form answers or Add image.
Choose the form you want to attach.
The form is sent to the Issue chat as a clickable button that opens the form page. Once completed, the answer is sent to the chat, also as a clickable button.
📌 Automatic setup for Issue types
Another way to add forms is to have them requested automatically when certain Issue types are created. This ensures that every time an Issue of that type is generated, key forms must be completed, standardizing the process and reducing the risk of skipping important steps.
For example: when an Issue related to preventive maintenance is created, you can set it up to automatically request a technical inspection form. Every time an Issue of that type is created, the system sends the form request, and the form is linked to the Issue when the operator completes it.
How to set it up
From the web, go to the Issues section.
Select Configure and edit an existing Issue type or create a new one. You can also create a type from Create + > Create issue type.
In the Additional information (optional) section, select + Add form and choose the form that must be answered.
Select Save.
Forms are added one at a time. Selecting form folders is not available yet.
These forms are automatically requested from the people participating in the Issue every time an Issue of that type is created.
📌 Benefits
Efficient workflows: link forms and their answers to Issues at any point in the process.
More flexibility: add forms requested beforehand or completed outside the Issue, keeping all information centralized.
Automation: set up Issue types to automatically request specific forms, so no critical steps are skipped.
