In DataScope, the collected data can be exported as PDF, Excel, or integrated with Google Sheets and other systems. You can see more details on how to do this in this article: How do I view and export answers from the Web Platform?
If you're having trouble exporting your forms' answers from DataScope, check the following points.
💳 1. Check your plan
Data export depends on the contracted plan.
Excel or PDF exports, and integrations with other systems, aren't available on the free plan.
If you need these features, check the options available on paid plans: DataScope plans and pricing
🔐 2. Check your permissions
To export answers, you need access to the form and the corresponding permissions.
If you can't access the form or certain export options, ask the account's Administrator to review your permissions. See: Can I restrict permissions for certain users?
📊 3. Check which answers you're trying to export
The available options can vary depending on how you're doing the search.
If you're working with selected answers, some export options may not be available. For example, the PDF documents in ZIP option may be available while certain Excel options appear disabled.
If you need to export to Excel, check the applied filters and use the corresponding export option.
📌 Important: an export option showing as disabled doesn't necessarily mean there's a problem with your account. Availability can depend on the selected answers, the filters, and the export format.
📅 4. Check the selected date range
If the Export button appears disabled, first check the date range applied in the filters.
The date range for exporting can't be longer than 6 months. If you selected a wider period, the Export button will remain disabled even if the rest of the setup is correct. Reduce the date range to 6 months or less to enable the export.
This is different from an export that simply takes longer than usual, see the next point.
⏳ 5. The export is taking a while
If the Export button is enabled but the file doesn't arrive, it may be because the process is taking longer than usual. This can happen if you're trying to export a large volume of answers.
You can try:
Reducing the date range (remember it can't exceed 6 months).
Applying more specific filters.
Exporting a smaller number of answers.
📩 6. Didn't receive the file by email?
If the export was processed but you didn't receive the email:
Check the email address used.
Check the Spam or Junk folder.
Check the Promotions folder, if you use Gmail.
Check DataScope's Alerts section.
Exports can also be available under Alerts within the Web Platform.
If the problem continues, see: What do I do if I'm not receiving emails from DataScope?
🔄 7. Wait for the export to finish
Exports can take a few minutes, especially when they contain a large number of answers.
While the file is being processed:
There's no need to request the same export again right away.
Check the Alerts section periodically.
If the file doesn't appear after a reasonable amount of time, try exporting with a smaller date range.
❓ Is the problem still happening?
If after checking these points you still can't export your answers, contact DataScope's Support team through the chat.
