How do I notify a client when a form is completed?

Learn the different ways to automatically send your clients a form's information once it's completed.

You can set up DataScope to automatically send a form's information to your clients every time a new answer is submitted.

Depending on how you work with your clients, you can use different options:

  • Send the form to previously defined email addresses.

  • Send the form to the email associated with the Place selected in the answer.

  • Use a Zapier integration to automate the sending.

📩 Option 1: Send the form to previously defined email addresses

This option is useful when you want one or more email addresses to receive the form every time it's completed.

For example, if you have a specific form for a client, you can set their email as the recipient and automatically receive the PDF for every answer submitted.

📍 Option 2: Send the form to the email associated with the selected Place

If you work with several clients or Places and want each one to receive only the answers that correspond to them, you can associate their email addresses with each Place.

For example:

Then, in the form, you can use a Data List Selection question linked to the Places List. When the user completes the form and selects a Place, the notification will be sent to the email associated with that Place.

How do I set it up?

  1. Register your clients' email addresses in the Places List.

  2. In the form, add a Data List Selection question using the Places List.

  3. In the form's Email Settings, turn on Automatically notify by Email.

  4. Save your changes.

This way, the recipient will be determined based on the Place selected in the answer.

🔗 Option 3: Use a Zapier integration

You can also use a Zapier integration to automate sending information when a new answer is submitted.

This option can be useful if you need to build a more customized flow, for example, sending information to different recipients or using other services besides email.

💡 Which option should I use?

The best option depends on how you want to distribute the information:

  • The same recipient or group of recipients for all answers: use the form's automatic notifications.

  • A different recipient depending on the client or Place selected: use the emails associated with Places.

  • A more customized automation flow: use Zapier.
