You can restrict a user's access to specific forms from their permission settings. This way, the user will only be able to view and access the forms assigned to them.
🔐 How to restrict access to certain forms?
To configure which forms a user can access:
In the Web Platform, go to Settings and help > Users.
Find the user you want to configure and select Configure > Edit.
In the Forms section, select the forms the user will have access to.
Save the changes.
📌 Keep in mind
If the Forms field is left empty, the user will have no form restrictions and will be able to access all forms in the account.
However, there is an exception: if forms have already been assigned or created within a group, you may not be able to add forms individually from this section.
In this case, access must be managed through the settings of the corresponding group.
👥 What happens if the user belongs to a group?
When a user has permissions associated with a group, some form settings may be determined by that group.
If you see the following message when trying to add forms:
“You can't add forms because you previously assigned or created them in a group.”
This means you need to review the configuration of the group the user belongs to.
This allows form permissions to be managed centrally and prevents individual settings from conflicting with the group's configuration.
➕ What happens when a new form is created?
If a user has restricted access to forms and creates a new form, the form will not be automatically added to their permissions.
For the user to access the new form, it must be added to their permissions, as long as the user's or group's configuration allows it.
If the user's forms are managed through a group, you should review the configuration of that group.
🔄 What should I do if the changes don't appear in the app?
If you changed a user's permissions but the changes are not yet reflected in the mobile app:
Log out of the app.
Log back in.
Check the available forms again.
This allows the user's permissions to be updated.
