You can create new users in your DataScope account by going to Settings and help > Users.
DataScope offers different options for adding users:
Email invitation
Manual creation, one by one
Bulk import
Important: the user's email address will be used to access the account. If the person already has a DataScope user, you can use the same email address: they will sign in using their existing credentials.
1. Invite users by email
This is the fastest way to add users when you want each person to set up their own access credentials.
Go to Settings and help > Users.
In the Invite User field, enter the email address of the person you want to add.
If you want to invite several users at once, separate the email addresses with a space.
Select the permission level the user will have.
Send the invitation.
The user will receive an invitation email and will be able to set up their password to start using DataScope.
2. Create a user manually
If you prefer to configure the user's account directly, you can create it manually.
Go to Settings and help > Users.
Click Create User.
Complete the requested information, such as name, email address, and password.
Define the permissions the user will have.
Save the changes.
Once created, the user will be able to sign in to DataScope from the web platform or mobile app.
3. Import users in bulk
If you need to create a large number of users, you can use the bulk import option.
To do so:
Prepare an Excel spreadsheet with the users' information.
Include the required data, such as name, email address, password, and permission level.
Go to Settings and help > Users.
Click Import and select the spreadsheet.
Once the import is complete, users will be able to access DataScope from the web and mobile app.
📌 Configure user permissions
When creating or editing a user, you can define which actions they will be able to perform within your account.
Permissions are organized into different categories so you can adapt each user's access to the needs of your operation.
📌 Basic permissions
View form responses: allows or restricts users from viewing the Team Responses tab, meaning other users' responses, and accessing the web platform to view responses.
Chat: allows or restricts users from chatting with each other.
Answer forms: allows or restricts users from answering forms without them being assigned.
View assigned forms: allows or restricts users from viewing the forms assigned to their account.
📌 Advanced permissions
Change form status: allows or restricts users from setting a status for each form response.
Create custom lists: allows or restricts users from adding or removing location lists and/or simple lists, and modifying forms in the Form Editor.
Modify form responses: allows or restricts users from modifying a response from a form that has already been submitted.
Edit forms: allows or restricts users from creating new forms or making changes to existing ones.
Delete/restore form responses: allows or restricts users from deleting or restoring deleted responses.
Access charts: allows or restricts users from accessing the charts module on the web platform.
Automatically assign new locations: automatically assigns newly created locations to the user.
📌 Administration permissions
Show and create new users: allows or restricts users from adding or removing users from the account.
Export data: allows or restricts users from exporting data in Excel format.
Manage account settings: enables users to edit general account settings, including billing information.
Manage signatures: grants administrator permissions to manage signature-related settings.
Manage tickets: grants administrator permissions to manage the tickets module.
Manage assets: grants administrator permissions to manage the assets module.
Manage locations: grants administrator permissions to manage the locations module.
Restrict access to forms and locations
In addition to general permissions, you can define which locations and forms each user will have access to.
This allows you to limit the information and tasks each person can view or manage according to their responsibilities.
You can also assign users to one or more user groups to make it easier to manage permissions and access.
Configure electronic signatures
If you have the Signatures module enabled, you can also configure the user's electronic signature.
To generate the signature correctly, you must enter the user's full name and personal email address in their information.
Once you have completed the information and configured the permissions, click Save.
That's it! The user will be created and can start using DataScope according to the permissions and access you have configured.
Sort users
The Users list can be sorted by name using the Name column header.
The control allows you to switch between:
No sorting
A-Z
Z-A
Sorting is applied to the entire list and can be combined with the search field. It is also available for Active and Deactivated users.
