A planning template predefines the setup of your plannings, so you don't have to set everything up from scratch every time. When you create a planning, you choose the template and DataScope applies its values.
📌 The Plannings module is available on the Professional and Enterprise plans.
💡 Which template do I need?
If you need to... | Do this |
Create several plannings with the same setup | Create a template and use it in each planning |
Have cycles scheduled by calendar or every X days | Use a Time-based template |
Have cycles scheduled when a piece of equipment's meter reaches a value | Use a Meter template |
Have everyone use the same frequency | Define the frequency in the template and don't turn on Allow changing frequency when creating the planning |
Create a planning without any prior setup | Choose Standard planning (Not customized) when creating it |
Remove templates you no longer use | Delete them from the list. Only templates that aren't in use can be deleted |
🧭 Where are the templates?
Log in to the DataScope Web Platform.
Go to Plannings.
Select the Templates button, in the upper-right corner of the list.
The templates list shows:
Name: the template's name, with its icon.
Use: how many plannings it's used in, for example Used in 1 planning, or Not in use.
Edit and Delete: each template's actions. Delete appears disabled for templates that are in use.
Above the list there's a search bar and the Create template + button. To go back to the plannings, use Back to plannings.
Templates that come by default
DataScope includes these templates:
Inspection Audit
Training and education
Maintenance
Operational round
Generic planning (Not customized), marked as Default. It can't be edited or deleted.
You can edit or delete the templates that come by default, or create new ones.
🛠️ How do I create a template?
In the templates list, select Create template +.
Complete the three sections: the template's information, the Cycle setup, and the Forms.
Select Create. If you prefer to leave without saving, select Cancel.
Template information
In this section, you define the information that will be predefined when creating the planning:
Field | What to enter |
Icon | The icon that visually identifies the template type. |
Name * | The template's name. |
ID prefix * | The prefix added to the ID of each planning created with this template. Plannings are numbered as XXX-1, for example AUD-1 or MTTO-2. |
Supervisor | You can set one or more supervisors for all plannings of this template. |
Requires asset to create planning | If you turn it on, it will be mandatory to assign an asset when creating a planning with this template. |
Allow editing the planning after it's created | Lets you update the configuration of plannings created with this template. Changes only apply to upcoming executions and don't affect those already in progress. |
The same people responsible for all tasks | The tasks of plannings of this template share a single list of people responsible, which can be a set of users or a group. It's defined once when creating the planning, and editing it applies to all tasks. Adding a person applies from now on, and removing one takes effect from the next cycle and doesn't erase what's already been done. |
Fields marked with an asterisk (*) are mandatory.
Cycle setup
In Cycle setup, you define how each cycle of the planning is triggered. There are two options:
Option | How the cycle is scheduled |
Time-based | By calendar or every X days. |
Meter (Requires asset) | When an asset's meter reaches a defined value. |
Time-based template
Field | What to enter |
Planning frequency * | How often the cycle repeats: daily, weekly, every 2 weeks, monthly, quarterly, semiannual, or custom. In the custom option, you define a number and a unit of time in Repeat every. |
End | When the repetition ends: Never, on a Date, or After a number of cycles. |
Allow changing frequency when creating the planning | If you turn it on, the person creating the planning can change the frequency. If not, the one you defined in the template is used. |
Example: an Inspection Audit template with a frequency of every 2 weeks and an end after 4 cycles generates exactly 8 weeks of planning. When the fourth cycle is completed, the planning is archived automatically.
Meter template
When you choose Meter (Requires asset), the Requires asset to create planning option is checked, and you set up:
Field | What to enter |
Meter * | The meter the planning will use, for example Hour meter. You'll only be able to associate assets with that meter when creating the planning. |
Planning strategy * | Select an existing strategy or create a new one. |
Planning start | When tasks are assigned, relative to the projected date: 1 day before, 3 days before, 1 week before, 15 days before, or On the projected date. |
Available duration * | How long users will have to complete the task. You enter a number and a unit, for example days. |
Automatically pause for equipment inactivity | Pauses the planning when the meter doesn't record new readings, and resumes it automatically when they're recorded again. |
Create a planning strategy
A strategy defines the levels at which the cycle is scheduled. In Create planning strategy, you complete:
Strategy name *: for example, 200/600 hours strategy.
Planning levels *: each level has a threshold, for example 200, and a name, for example Inspection. Add more levels with Add level, and remove one with the trash icon.
Select Create to save the strategy.
To learn how meter-based maintenance works, see: Maintenance: Meter-Based Plannings
Forms
In Forms, define which forms must be executed in each cycle with + Add forms. Plannings created with this template include them automatically.
✏️ How do I edit a template?
In the templates list, select Edit on the template you want to modify.
🗑️ How do I delete templates?
You can delete a template from the list with Delete, or select several and delete them together.
Keep in mind that:
Templates that are in use can't be deleted or selected. The Use column indicates how many plannings each one is used in.
At least one template always remains in the account.
🔍 How do I search for a template?
Above the templates list there's a search bar that filters as you type, by name or prefix, regardless of uppercase or accents. If there are no results, the list tells you what you searched for and lets you clear the search.
With an active search, select all and the action bar act only on the templates shown on screen.
When creating a planning, the Planning template field also filters the options as you type.
❓ Frequently asked questions
What's the difference between a template and a planning? The template predefines the setup. The planning is what generates the tasks in each cycle. With the same template, you can create several plannings.
Can I create a planning without a template? Yes. When creating it, choose Standard planning (Not customized) and set up all the fields freely.
I can't delete a template, why? Because it's in use in at least one planning. The Use column shows how many. Also, at least one template must always remain in the account.
Can I change the frequency when creating a planning? Only if the template has the Allow changing frequency when creating the planning option turned on.
Can I edit a planning after creating it? Only if the template has the Allow editing the planning after it's created option turned on. Changes apply to upcoming executions, not to those already in progress.
How do I make all tasks have the same people responsible? Turn on The same people responsible for all tasks in the template. The people responsible are defined just once when creating the planning.
What happens if the equipment stops recording meter readings? If the template has automatic pause for inactivity turned on, the planning is paused and resumes on its own when readings are recorded again.
Do templates count toward my plan's limit? The Professional plan's limit applies to plannings in use (active, overdue, or paused), not to templates.
Where is the template type used in the Excel import? In the Tipo column of the Planificaciones sheet, which shows your account's template types as a dropdown list.
