A planning automatically generates tasks in each cycle, according to the frequency you define. Creating one takes 2 steps: in the first, you define the general setup, and in the second, you assign the forms and set up their tasks.
📌 The Plannings module is available on the Professional and Enterprise plans. The Professional plan allows up to 5 plannings in use at a time.
💡 Before you start
You need | Detail |
A supervisor | It's mandatory. It's the person who supervises the planning |
The forms to be assigned | Each form becomes a task in each cycle |
The users or groups responsible | You choose them when setting up each task |
A template (optional) | It predefines the setup so you don't have to do it from scratch. If you don't use one, choose the option that isn't customized |
An asset (depending on the case) | It's mandatory if the template requires it, and in meter-based plannings |
To learn about templates, the plannings view, and how to manage them, see: Task Plannings in DataScope
🛠️ Step 1: General setup
Log in to the DataScope Web Platform.
Go to Plannings.
Select Create +, in the upper-right corner.
The Create planning screen opens, at step 1 of 2. Complete these fields:
Field | What to enter |
Planning template * | Choose an existing template or Standard planning (Not customized) to set everything up freely. The field filters the options as you type, and the no-template option is always available. |
Planning name * | The name that identifies the planning. |
Supervisor * | One or more people who supervise the planning. |
Start date * | The date the first cycle begins. |
Planning frequency * | How often the cycle repeats: Daily, Weekly, Every 2 weeks, Monthly, Quarterly, Semiannual, or Custom. |
End | When the repetition ends: Never, on a Date, or After a number of cycles. |
Asset | The associated asset, if applicable. By default, it shows No asset. |
Location | The associated location, if applicable. |
Fields marked with an asterisk (*) are mandatory.
Custom frequency
If you choose Custom, in Repeat every you define a number and a unit of time. For example, every 2 days.
If you use a template
The template can bring predefined values, such as a fixed supervisor, a frequency, or a mandatory asset. If the template doesn't allow changing the frequency, you won't be able to change it in this step.
When you finish, select Next. If you prefer to continue later, select Save draft.
📋 Step 2: Forms and tasks
In step 2, DataScope tells you: To create this planning, assign the following forms as tasks.
Add the forms that need to be completed with + Add forms. If the template already includes forms, they appear in the list.
For each form, select Create task to set up the task.
When you finish setting it up, select Create.
Repeat the process with each form.
To go back to the general setup, use Back to the previous step.
Setup of each task
General information
Users: the people responsible for performing the task. They can be users or groups.
Form: inherited from the form you chose.
Location: where the task will be done.
Asset: the asset, if applicable.
Description and Tasks to perform: additional instructions and activities.
Date and time
Execution day in the cycle: on which day of the cycle the task is executed, for example day 1 of 7.
Execution time: the exact time the task will be available.
Task duration in hours: the time available to complete it. The system shows a preview of Cycle 1 and of when it's rescheduled in Cycle 2.
Allow responses after the deadline: if you don't turn it on, the task is left as incomplete once it's overdue.
Schedule delivery: how far in advance the person responsible is notified, for example at the start, 1 day before, or 3 days before.
Frequency per form
Each form can have its own frequency or stay as Same as the planning. For example, in a monthly planning, one form can be daily and another every 2 weeks. For each cycle, DataScope shows how many tasks will be generated and on what dates.
Participation
Mandatory: all assigned users must respond.
Voluntary: users can accept or reject the task.
Reminders
Set up automatic notifications before the due date: 15 min, 30 min, 1 hour, 1 day, 3 days, or 1 week.
If the template has the The same people responsible for all tasks option turned on, you define the people responsible once and it applies to all tasks.
Activate the planning
When all the forms have their task set up, select Create in the main panel to activate the planning.
✅ What happens after creating it?
The planning appears in the list with Active status.
DataScope generates the first cycle's tasks, scheduled for the day and time you defined.
Users see their tasks in the app, in the Plannings section of Pending. In the Web Platform, they appear in Task Assignments, with the Origin: Planning filter.
The next cycle is generated when the current cycle's end date arrives, not when all the tasks are completed.
If you saved it as a draft
A planning saved as a draft doesn't generate tasks. To find it, use the Drafts filter in the list. Drafts don't use up your plan's quota.
🔧 Meter-based plannings
If the template is Meter-based, the planning generates tasks when an asset's meter reaches a defined value. In that case, you need an asset, and you can indicate which was the last maintenance performed.

❓ Frequently asked questions
Which fields are mandatory in step 1? The template, the name, the supervisor, the start date, and the frequency.
Can I create a planning without a template? Yes. Choose Standard planning (Not customized) and set up all the fields freely.
Can I save the planning and finish it later? Yes. Use Save draft in either of the two steps. You can activate it later from the list, with the Drafts filter.
I can't create another planning, why? The Professional plan allows up to 5 plannings in use at a time (active, overdue, or paused). Drafts and archived plannings don't use up your quota, so you can archive the ones you no longer use. The Enterprise plan has no limit.
I created the planning and I can't see it in the list, what do I check? Check the list's filters, especially Status and Date. If you saved it as a draft, it appears under Drafts.
When are the tasks generated? The first cycle's tasks are generated when you activate the planning. The following cycles' tasks are generated when the previous cycle's end date arrives.
Can I use a different frequency for each form? Yes. In step 2, each form can have its own frequency or stay as Same as the planning.
Can I create several plannings at once? Yes, from an Excel file. See: How do I import and export plannings?
