How to import users in bulk?

Import multiple users into your DataScope account quickly using an Excel file.

This option allows you to create users and configure their roles, permissions, groups, locations, and assets from a single file.

📌 Where can I import users?

From the Web Platform, go to: Settings and help > Users > Import


1. Download the example file

When you select Import, you will find an option to download the example Excel file.

Click Download Example.

The file contains different tabs that you can use to configure user information.

You don't need to complete every tab. Only use the tabs that are relevant to your account configuration.


2. Complete the "Users" tab

In this tab, enter the main information for each user.

Required fields are identified with an *.

The available fields include:

Column

Description

Name *

User's first name.

Last Name *

User's last name.

Email *

Unique email used for login.

Password *

Password with at least 6 characters. We recommend using uppercase letters, numbers, and symbols.

Phone

(Optional) Phone number of the device that will use the app.

Role *

Defines user permissions (Operator, Supervisor, Administrator, etc.).

View answers

Allows viewing submitted form answers (Yes/No).

Chat

Grants access to internal chat (Yes/No).

Answer Forms

Allows submitting forms (Yes/No).

View Assigned Forms

Allows viewing assigned forms (Yes/No).

Change status

Allows changing the status of forms (Yes/No).

Create Lists

Allows creating new data lists (Yes/No).

Modify Form Answers

Allows editing submitted answers (Yes/No).

Edit Forms

Allows editing forms in the account (Yes/No).

Delete form responses

Allows deleting responses (Yes/No).

Create Users

Allows creating new users in the platform (Yes/No).

Export Data

Allows exporting data from the account (Yes/No).

Access charts

Allows the user to access the charts module.

Account settings admin

Allows the user to manage account settings.

Signatures admin

Allows the user to manage signatures.

Tickets admin

Allows the user to manage tickets.

Assets admin

Allows the user to manage assets.

Locations admin

Allows the user to manage locations.

Assign new locations

Allows the user to assign new locations to users.

Permissions must be entered using "Yes" or "No".

💡 Tip

If you want to use the default permissions associated with a role, select the corresponding role in the Role column and use the Roles tab in the file as a reference.


3. Assign users to groups

Use the Groups tab if you want to add users to one or more groups.

Complete:

  • User Email: must match the email entered in the Users tab.

  • Group Name: enter the group you want to assign to the user.

If a user belongs to multiple groups, add one row for each group.

The Group Definitions tab contains the groups available in the account and their identifiers.

You can use this information as a reference when configuring assignments.


4. Assign locations to users

If you need to configure users' Locations during the import, use the Assign Locations tab.

Complete:

  • User Email

  • Assigned Location Name

This allows you to associate specific locations with each user.


5. Assign assets to users

If you use the Assets module, you can assign assets during the import using the Assign Assets tab.

Complete:

  • User Email

  • Assigned Asset ID

The Available Assets tab shows the assets that can be used as a reference for these assignments.


6. Review the file before importing

Before uploading the file:

  • Make sure all required fields are completed.

  • Check that the email addresses are correct.

  • Make sure permissions use Yes/No.

  • Verify that group, location, and asset names match those available in your account.

  • Do not modify the column names in the example file.


7. Import the users

Once you have completed the file:

  1. Save the Excel file.

  2. Go back to Settings and help > Users > Import.

  3. Select the file.

  4. Click Import.

  5. Wait while DataScope processes the information.

After uploading the file, the users will be processed and DataScope will notify you if any errors are found.


⚠️ Important

Bulk import allows you to configure a large amount of user information from a single file. However, you don't need to complete every tab if you don't use those features.

For example, if you only need to create users, you can complete just the Users tab.

If you also want to assign users to groups, locations, or assets, complete the corresponding tabs.
