Task Plannings allow you to create recurring groups of tasks and assign them a defined frequency. Once each cycle is completed, tasks are automatically generated for the next period without the need to create them manually.
They are ideal for recurring processes such as audits, routine inspections, training programs, or operational rounds.
📌 Module Overview
When you access the Plannings module, you will see a summary with four counters at the top:
Late — plannings with overdue tasks that have not been completed.
Active — plannings currently in progress.
Archived — plannings that have been completed or manually archived.
Paused — plannings that are temporarily stopped.
Below, you'll find the complete list of plannings with the following columns:
ID, Planning, Period, Supervisor, Progress, and Status.
Available Filters
You can filter the list by:
Status: All / Active / Paused / Overdue / Archived / Drafts
Date, Supervisor, and Asset
Planning name search
You can also import and export data using the icons located next to the search bar.
📌 Planning Types
Before creating a planning, it's helpful to understand Planning Types. These act as templates that predefine settings so you don't need to configure everything from scratch each time.
To access them, click the Planning Types button in the upper-right corner of the list.
Default Planning Types
Datascope includes the following predefined planning types:
Inspection Audit
Training and Development
Maintenance
Operational Round
Generic Planning (Uncustomized) (Default)
You can edit or delete existing types or create new ones using the Create Type + button.
Create a New Planning Type
When creating a planning type, you define the information that will be automatically populated when creating a planning.
Field | Description |
Icon and Name | Visual identification of the planning type. |
ID Prefix | Prefix added to the ID of every planning created using this type. |
Supervisor | Allows you to define a mandatory supervisor. |
Frequency | Daily, Weekly, Biweekly, Monthly, Quarterly, or Semiannual. |
Completion | Never / By Date / After N Cycles. |
Allow Frequency Changes | Allows users to modify the frequency when creating a planning. |
Require Asset | Requires an asset to be linked when creating the planning. |
Forms | Defines which forms (tasks) must be completed during each cycle. |
Example: An Inspection Audit planning type with a frequency of every 2 weeks and an end date after 4 cycles will generate exactly 8 weeks of planning. After the fourth cycle is completed, the planning is automatically archived.
📌 How to Create a Planning
Creating a planning consists of two steps.
Step 1 — General Settings
Click Create + in the upper-right corner. A side panel will open with the following fields:

Planning Name | Name used to identify the planning. |
Start Date | Date when the first cycle begins. |
Frequency | Cycle frequency (e.g., Weekly, Monthly). |
Completion | Never / By Date / After N Cycles. |
Supervisor | Person responsible for overseeing the planning. |
Asset | Associated asset, if applicable. |
Click Next to continue or Save Draft to save without activating.
Step 2 — Forms and Tasks
In this step, you add forms and create the tasks for each cycle:
Click + Add Form.
For each form added, click Create Task.
Task Configuration
General Information
Users — responsible for completing the task.
Form — inherited from the selected form.
Location — where the task will be performed.
Asset — associated asset, if applicable.
Description and Tasks to Perform — additional instructions.
Date and Time
Execution Day Within Cycle — defines on which day of the cycle the task must be completed (e.g., day 1 of 7).
Execution Time — exact time when the task becomes available.
Task Duration (hours) — available completion window.
The system displays a preview of Cycle 1 and when the task will be rescheduled for Cycle 2.
Allow response after the due date — if disabled, the task will be marked as incomplete after expiration.
Schedule Delivery — determines how far in advance notifications are sent.
Participation
Mandatory — all assigned users must complete the task.
Optional — users may accept or reject the task.

Configure automatic reminders before the due date:

Once the task is configured, click Create. Then click Create again in the main panel to activate the planning.
📌 Planning Details
When opening a planning from the list, you'll see:
Planning name and ID along with its current status (e.g., Late).
Cycle navigation controls.
Progress bar showing the task completion percentage for the current cycle.
General information: Type, Period, Asset, and Supervisor.
Action buttons: Pause and Archive.

If you need to add a task that was not originally planned, use the + New Task button.
When Does the Next Cycle Start?
Important: The next cycle starts based on the end date, not on the completion percentage.
This means that even if all tasks are completed at 100%, the next cycle will not be created immediately. The system waits until the defined period ends before automatically generating tasks for the next cycle.
📌 Frequently Asked Questions
What happens if I don't complete all tasks before the cycle ends? Incomplete tasks remain recorded with the status Incomplete. The system will still generate tasks for the next cycle once the end date is reached.
Can I modify an active planning? Yes. You can add tasks from the planning details page using the + New Task button.
What happens when all defined cycles are completed? The planning is automatically archived and can be viewed in the Archived list.
Can I temporarily pause a planning? Yes. Use the Pause button from the planning details page. No new cycles will be generated until the planning is reactivated.
Can I save a planning without activating it? Yes. During creation, use the Save Draft button at any step.
Can I create plannings without a predefined type? Yes. By selecting Standard Planning (Uncustomized), all fields are available for full customization.
