When a form is answered in DataScope, a PDF can be generated with all the recorded information. Depending on your form's settings, the PDF can be Standard or Custom.
Important: PDF download is available only for users on paid plans.
📌 Ways to download a PDF
From the web platform, there are several ways to get the PDF of an answer.
Option 1: Send the PDF by email
Go to Home.
Find the form answer you want to download.
Click Configure.
Select Send backup to email.
Enter the email address where you want to receive the file.
The system will automatically send the answer's PDF to the address you entered.
Option 2: Download the PDF from the answer list
The file will download directly to your device.
Option 3: Download the PDF from the answer's detail view
This option lets you review the information before downloading the document.
📌 Doesn't the PDF show the latest changes?
In some cases, the PDF may show an older version of the answer if you recently:
Modified answers from the web.
Made changes to the form's structure.
Updated a custom PDF.
Made adjustments to fields, sections, or settings related to generating the PDF.
If this happens:
Download or open the PDF.
Click Regenerate PDF.
Wait a few seconds while the system generates a new version.
Regenerating will update the document with the most recent changes.
💡 As an alternative, you can also use the Send backup to email option, since the system will generate and send the most up-to-date version of the PDF.
📌 Frequently asked questions
I don't see the "Download PDF" option: check that your account is on a plan that includes the PDF download feature. This option isn't available on free plans.
When should I use "Regenerate PDF"?: when you've recently made changes to the answer, the form, or the PDF settings, and you need those changes reflected in the downloaded document.
Does "Send backup to email" generate an updated PDF?: yes. When sending the backup by email, the system generates an updated version of the PDF before sending it.
