Check your operational data just by typing a question, using the smart assistant.

Ask DataScope is the platform's smart assistant that lets you query information using natural language and get immediate answers in the form of lists, metrics, or charts.


🤖 Where can I find "Ask DataScope"?

You can access it directly from the platform's side menu. Once inside, you'll see the assistant ready to help you.


📊 What information can you query?

With Ask DataScope, you can ask questions about any of these records:

  • Tasks

  • Form answers

  • Forms

  • Places (old and new)

  • Assets

  • Signatures

  • Issues

  • Users and groups

💡 This lets you centralize your queries without having to navigate between different sections.

In addition to querying your records, you can ask the assistant how to use DataScope. The assistant has the Help Center's information loaded, so it answers questions about features and settings based on that.

"How do I create a form with sections?"

"How do I associate an asset with an issue?"

When it can't find an answer with enough confidence, it offers to route the query to the support chat. That routing connects you directly with the support team.


⚙️ What can the assistant do?

Depending on what you need, you can make different types of queries.

In some cases, the assistant asks a follow-up question with predefined options, for example, what type of chart you want to see or in what format to export. Just select one of the options: this narrows down the query and avoids typing errors.

Count

Get the total number of records that meet a condition.

"How many tasks were completed this week?" "How many issues are open at the North Plant location?"


List

See a list of records with their details.

"List the last 10 answers from the inspection form." "Show me the pending tasks for the Operations group."


Detail

Explore a specific record in depth.

"Show me the details of task #4821." "Give me all the information for the Compressor-07 asset."


Chart / Dashboard

Visualize distributions and trends in your data. You can request the following types of charts:

  • Bar: compare categories

  • Pie: view proportions

  • Line: analyze trends over time

  • Heat map: identify patterns by day or time

  • Statistic: show a single highlighted number

"Create a bar chart with each month's answers." "Show a heat map of signatures collected by day of the week."

Once a chart is generated, you can adjust it from the same chat: break down the data by user, place, or status, change the queried period, and modify the order of the data.

💾 Save and reuse dashboards

All the charts you generate can be automatically saved in the "My Dashboards" module, where you can check them again at any time.

These dashboards are dynamic, meaning they update automatically as your data changes, with no need to generate them again.


Export

Download the queried information directly from the chat, without going into the corresponding module. You can export records such as forms, tasks, and plannings.

"Export the inspection form's answers for this month."

Before generating the file, the assistant asks you for the export format.


Create forms

Ask for a form describing what you need, and the assistant proposes the complete structure: the title and each question with its assigned type.

"An extinguisher inspection checklist with photo, location, and technician's signature."

The proposal appears in full on a card within the chat before it's created. You can adjust it by chatting, for example, asking it to remove the temperature question or to add the serial number, and each adjustment returns the updated proposal.

When you confirm, the form is created on your account as a draft, unpublished. No one can answer it until you review it and publish it from the Form Builder.

To create forms from the chat, you need the permission to create forms, and creation respects your plan's form limit. If the proposed structure doesn't meet validation requirements, the form isn't created and the assistant tells you what it couldn't build.


📎 Answer sources

Each answer indicates the data source the assistant used, for example, "Source: Answers." Next to the source, you'll find a link to the corresponding module.

For Answers and Issues, the module opens with the same filters the assistant applied, so you can review the details or keep working from there.


🕘 Conversation history

All the conversations you have in Ask DataScope are saved in the history so you can check them again whenever you need to.

In the history, you can:

  • See the date of the last message for each conversation. Conversations are sorted automatically, showing the most recent ones first.

  • Identify messages by day using separators such as Today, Yesterday, or the corresponding date.

  • See the time of each message. If you hover over the time, you can check the full date and time.

  • View dates using the format configured on your account (European or English) and in the selected language (Spanish, Portuguese, or English).


🔗 Combined queries

You can ask more advanced questions by combining multiple conditions or actions in a single query.

Example:

"How many tasks did Team A complete this month? Show it in a chart."

"How many open issues are there by place, and which users have them assigned?" "List the tasks completed this week along with the form they used."

💡 The assistant can chain several searches within the same question.


🏷️ Referencing records with @

While typing your query, you can use the @ symbol to directly reference:

  • Forms

  • Users and groups

  • Places

  • Assets

Typing @ brings up the list of available options, and you select the one you need. This way, the assistant identifies exactly the record you mean, without depending on you typing the full or exact name.

"How many answers does @Daily Inspection have at @North Plant this month?"


🧠 Tips for better results

  • Be specific with dates: "this week," "in March," "in the last 30 days."

  • Mention the form or group when you want to filter by a specific one.

  • Ask for the type of chart you need directly in your question.

  • If you don't get what you expected, rephrase the question with more context.

  • Use @ to reference forms, users, groups, places, or assets instead of typing their names.

  • When the assistant offers you alternatives, select one of the options instead of typing the answer.

⏱️ Free trial period

When you go into Ask DataScope, you may see a counter showing the remaining time in your trial period.

This counter shows how much time you have left to use the feature before your trial access ends.

💡 Once the period ends, you may need to activate this feature based on your plan.
