How to create multiple locations and sub-locations (new version) in DataScope using an Excel template

Bulk import allows you to create multiple locations and sublocations in just a few minutes using an Excel template, ideal for quickly setting up your operational structure.


📍 Before you begin

Please keep the following in mind:

  • The import is done using an Excel template.

  • You can create locations and sublocations from a single file.

  • When importing locations, all users will initially have access to them. You can later adjust permissions if needed.

📌 Technical limit: you can import up to 2,500 locations per file.


📍 Why import locations in bulk?

Bulk import allows you to:

  • Quickly create your location structure when starting with DataScope.

  • Upload large volumes of locations without creating them manually.

  • Organize locations and sublocations in a single operation.

  • Reduce errors by standardizing information in a template.


📍 Step-by-step guide to import locations

Step 1: Download the import template

Download the official import template and complete the required information.

The template includes:

  • Import Sheet

    Here you will enter all the locations you want to create.

  • Location Types

    Contains the available location types you can use during the import.

Step 2: Complete the template

In the Import Sheet tab, fill in the information for each location.

Required fields:

  • Parent location

  • Name

  • Code

  • Location type

  • Address

  • City

  • State/Region

  • Country

Optional fields:

  • Phone number

  • Email

  • Description

  • Postal code

  • Latitude

  • Longitude

Create sublocations

If you need to create sublocations, use the Parent location column and enter the parent location code.

This will allow you to create a hierarchical location structure within the system.

📌 The location hierarchy can have up to four levels.

Step 3: Upload your file

Once the template is completed:

  • Drag and drop or select the Excel file.

  • Click Import.

The system will process the information and notify you if any errors occur during the import.

Once the process is complete, the locations will automatically appear in your structure.


📍 Recommendations for a successful import

  • Plan your structure before importing large volumes of locations.

  • Start by creating the main locations and then the sublocations.

  • Make sure the parent location codes match exactly when creating sublocations.

  • If using coordinates, ensure latitude and longitude correspond to the same location.

  • Carefully review the template before uploading it.
