Migration allows you to take advantage of a more flexible, hierarchical structure with greater access control, without interrupting your current operations.
Before you begin
Please keep the following in mind:
Old locations will continue to work for a period of time while you complete the migration.
Migration is done using an Excel template.
You can migrate your locations gradually or partially.
When migrating, all users will have access to the imported locations. You can adjust permissions afterward if needed.
Why migrate to the new structure?
The new Locations version allows you to:
Centralize recent activity: tickets, forms, signatures, users, and groups.
Create a hierarchical structure of up to four levels (locations and sublocations).
Clearly define which users or groups can view and work on each location.
Prepare for future improvements that will be available only in the new version.
Step by step: how to migrate your locations
Step 1: Use your current locations as a base
If you already have locations created in DataScope, you can download them and use them as a base to complete the new template.
From the migration section, click Download your existing locations. This will generate an Excel file with your current information, saving time and reducing errors.
Step 2: Download the template
Download the official migration template and complete the required information.
In the template:
The import sheet allows you to upload all your locations and sublocations from a single file.
To create sublocations, use the Source location column and indicate the parent location.
Complete all required fields:
Name
Location type
Location
Latitude and longitude are mandatory. You can obtain them by searching for the address in Google Maps and always using the same coordinates to avoid errors.
📌 Technical limit: you can import up to 2,500 locations per file.
Step 3: Upload your file
Once the template is ready:
Drag and drop or select the Excel file in the Upload your file section.
Click Migrate locations.
The system will process the information and notify you if any errors occur during the migration.
Once the process is complete, your locations will be available in the new structure.
Partial migration
You are not required to migrate all your locations at once.
You can:
Migrate main locations first.
Add sublocations later.
Keep old locations active while completing the migration.
⚠️ Important: To migrate sublocations, the parent location must already exist in the new structure.
Frequently asked questions
What will happen to my previously created locations? Old locations will continue to work for a period of time. Soon, we will begin a gradual deactivation process to make way for the new Locations structure.
Can I still access old locations? Yes. You will still be able to access your old locations. They will remain in the same place, but their name will change to List (Old locations) to differentiate them from the new ones.
Will my existing forms continue to work? Yes. Forms created using old locations will remain active. In the form builder, you will clearly see the difference between old locations and new locations.
How do I assign locations to users? For new Locations:
You can assign users individually from the Users section.
For bulk assignments, download and re-upload the users Excel file.
Can I associate a form with multiple locations? Yes, as long as the locations are at the same hierarchical level. It is not possible to associate a form with locations that belong to different levels.
Can I use the new locations without migrating all the old ones? Yes. Migration can be done partially. Old locations will continue to work while you complete the migration, as long as the parent locations already exist in the new structure.
How can I tell if a location has already been migrated? In the Locations table, you can see which sublocations have been migrated under each parent location. If any error occurs during migration, you will receive a notification during the process.
