What are Assets?
The Assets module in DataScope allows you to register, monitor, and manage your physical assets (equipment, tools, vehicles, facilities, among others) in a centralized way.
With this functionality, you can concentrate all asset information and usage in one place, ensuring more efficient, traceable, and real-time control.
What can you do with Assets?
Centralize information: each asset has a unique history where usage, inspections, maintenance, and failures are recorded.
Monitor availability and usage: register data such as hours of use (hour meter) to track the condition and wear of each asset.
Reduce manual work: all management stays within DataScope, avoiding reliance on external files (such as Excel).
How to create Assets
There are two ways to create assets:
Manual entry
From the DataScope interface, ideal for registering individual assets or making adjustments.Bulk upload
Through an Excel template that allows you to register multiple assets at once — especially useful during the initial setup.
Main fields of an Asset
Name: main identification of the asset.
Unique identifier: can be a license plate, serial number, or internal code.
Authorized users and/or groups: define who can operate, inspect, or maintain the asset.
Description (optional): additional details about the asset.
Meter (Hour Meter): a unique field per asset that records the accumulated hours of use.
Example of using the hour meter
Name: Caterpillar Excavator 320
Unique identifier: CAT320-5678
Authorized users: Maintenance Team
Description: Heavy machinery used for earthmoving projects.
Meter (Hour Meter): 2,450 hours of use
Each time you complete an inspection or maintenance form, you can update the hour meter with the new usage hours. The system will keep an accumulated and real-time updated record of the machine’s wear.
Updating and traceability
Assets can be updated in two ways:
Automatically, through forms linked to the asset.
Manually, by editing the information directly in the platform.
Every change is recorded in the asset’s history, including hour meter updates. This ensures full traceability and facilitates audits or internal controls.
⚠️ Note: assets and their meters can be deleted, but all actions are logged for audit purposes.
ℹ️ Important
This is a beta version of the Assets module and will be available for free until the release of the next version. After the update, the new pricing structure will apply.
