Signature sequencing is a key feature in DataScope that allows you to set up an orderly approval flow for document signing. This tool ensures that each signer completes their part before the next one can sign, providing control and traceability throughout the process.
📌 How does signature sequencing work?
Define the signing order: When setting up a form with digital signature, you can assign multiple signers in a specific sequence.
Progressive notifications: Each signer receives a notification when it’s their turn to sign, preventing multiple people from signing out of order.
Verification and traceability: Once all signers have completed their part, the document is validated and available for download or further management.
📌 How to configure signers?
Access signature settings:
Go to the Forms section in the main menu.
Select the form you want to configure.
Click on the Configure Signature tab.
Define signing options:
Mandatory signature: All configured users must respond to the request, either by signing or rejecting it.
Configure the signers:
Select the signature requester. (This is the person assigned as the "signature requester", with permission to edit and monitor the signing flow. They can only sign if added as a signer or if they complete a form that requires a response signature.)
Choose the signers:
Internal users or user groups in DataScope.
External signers (suppliers, clients, etc.), who will receive an email invitation.
Set the signing order:
Fields marked with a red asterisk (∗) are required and must be completed to proceed with the signature configuration.
➡️ Sending to a group of signers simultaneously
You can configure the signature sequence so that a request is sent to multiple people (a group) at once, and the process only moves forward when everyone in the group has signed.
This allows you, for example, to have a group of supervisors sign in parallel before moving to the next level of approval.
How does it work?
When setting up the sequence, you can add multiple email addresses in the same step or group.
All members of the group will receive the request at the same time.
The process will only continue to the next signer (or group) once all members have signed.
This feature is useful for approval flows where several people must validate a document at the same time before it proceeds.
